This notice explains how Total Care Recruitment Ltd collects, uses and protects personal information, including information you give us through this website. It is written to meet the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are
Total Care Recruitment Ltd, trading as TCR Staffing Solutions, is a private limited company registered in Northern Ireland (company number NI644640). Our Head Office is at 237c Loughview Road, Lurgan, BT66 6NQ, and we also have an office at The Mount Business Centre, 2 Woodstock Link, Belfast, BT6 8DD. We are registered with the Information Commissioner’s Office (ICO) as a data controller, registration number ZB474577.
We are a recruitment and employment business. We find work for candidates and supply staff to organisations on a temporary and permanent basis. We are not a care provider and we do not deliver care services ourselves.
For the personal information described in this notice, Total Care Recruitment Ltd is the “controller”. This means we decide how and why the information is used.

Information we collect
When you use our contact form
Our Contact Us form asks for your name, email address, phone number (optional), whether you are a candidate or a client, and your message. We also record that you ticked the box to confirm you had read this notice. When you press Send, the form is emailed to our team at careers@totalcarerecruitment.com. The website keeps no separate copy.
To block spam, the form is checked by Akismet, a service run by Automattic Inc. Akismet receives your name, email address, message, IP address and browser details for this check.
When you apply for a job or register with us as a candidate
When you apply for a vacancy (for example, by emailing your CV to the consultant named in a job advert) or register with us for work, we may collect:
- your name, contact details, CV, work history, qualifications, training and references
- proof of identity and of your right to work in the UK
- details needed to pay you if we supply you to a client, such as your National Insurance number, bank details and tax information
- where the role requires it and the law allows, information about criminal convictions (for example, AccessNI checks for roles working with children or vulnerable adults), health information relevant to the role and professional registration details
When you are a client or a contact at a client
We keep business contact details (name, job title, work email and phone number) and records of our dealings with you, so that we can provide our services.
How we use your information and our lawful bases
- Replying to enquiries sent through the website, by email or by phone: our legitimate interests in responding to people who contact us.
- Providing work-finding services to candidates, including matching you to vacancies and, with your agreement, putting you forward to clients: taking steps at your request before entering into a contract, and performing our contract with you.
- Pre-employment checks and record keeping, including right-to-work checks, the records employment agencies and employment businesses must keep, payroll and tax: compliance with our legal obligations.
- Criminal record, health and other sensitive information: only where the role requires it, under the employment and safeguarding conditions in the Data Protection Act 2018, and in line with AccessNI’s Code of Practice.
- Managing our relationships with clients: performing our contract with them and our legitimate interests in running our business.
- Keeping our website secure and free of spam: our legitimate interests.
We do not sell your personal information. We do not use it for automated decision-making that has legal or similarly significant effects on you.
Who we share it with
- Clients with vacancies you are interested in. We only send your details to a client with your agreement.
- Referees, AccessNI, professional bodies and other organisations, where needed to carry out pre-employment checks.
- HMRC, our accountants and payroll providers, and other public bodies where the law requires it.
- Service providers who run systems for us under contract, including our website host (GoDaddy), our email provider (Microsoft 365) and our anti-spam service (Akismet / Automattic).
Transfers outside the UK
Some of our service providers may process information outside the UK, for example in the European Economic Area or the United States. Where this happens, we rely on UK adequacy regulations or on safeguards approved under UK data protection law, such as the International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU–US Data Privacy Framework.
How long we keep it
- Website and general enquiries: up to 12 months after our last contact with you, unless the enquiry leads to an ongoing relationship.
- Candidates we have not placed: up to 2 years after our last meaningful contact with you, so that we can tell you about suitable roles. You can ask us to delete your details sooner.
- Candidates and workers we have placed or paid: for as long as the law requires, normally 6 years after the end of the last assignment (for tax, legal and regulatory reasons).
- Client contacts: for as long as we work with your organisation and for up to 6 years afterwards.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information, or to restrict how we use it
- object to us using your information on the basis of our legitimate interests
- ask us to transfer information you gave us to another organisation (data portability)
- withdraw your consent at any time, where we rely on consent
To use any of these rights, contact our data protection lead using the details above. We will reply within one month. There is normally no charge.
If you are unhappy with how we have handled your information, please tell us first so that we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
Cookies
Cookies are small text files that a website stores in your browser. This website only uses cookies that are strictly necessary for it to work. We do not use analytics, advertising or social media tracking cookies, so we do not show a cookie banner. If that changes, we will ask for your consent first and update this page.
Searching and viewing jobs, reading our pages and sending the contact form do not set any cookies. Our contact form plugin (Contact Form 7) does not use cookies. You can block or delete cookies in your browser settings. If you do, the website will still work for visitors.
