Location: Rosewood Villa, St Luke’s Hospital Site, Armagh

Hours: 37.5 per week

About the Role

We are recruiting Band 3 Shared Services Support Officers to support the Recruitment Shared Services Centre. The post holder will provide high‑quality administrative, customer service and recruitment support, ensuring efficient delivery of end‑to‑end recruitment processes.

Essential Criteria

Applicants must meet one of the following:

  • Five GCSEs (Grades A–C) including English Language and Maths (or equivalent)
  • OR
  • 18 months relevant experienceApplicants must also be willing to undertake the REC Level 2 Certificate in Recruitment Resourcing

within 12 months of starting the role.

Key Duties & Responsibilities

  • Act as a point of contact for staff, customers and clients, escalating queries where appropriate.
  • Provide high‑quality administrative support and maintain effective systems and procedures.
  • Input, process, monitor and validate information with accuracy and attention to detail.
  • Assist with analysing and monitoring information/statistics.
  • Collate information and support preparation of reports, documents and proposals.
  • Contribute to protocols and procedures within the service area.
  • Assist with development and implementation of systems.
  • Maintain and replenish stationery stock securely.
  • Deliver a high standard of customer service to staff, public and suppliers.
  • Commit to personal development, teamwork and continuous improvement.

Recruitment‑Specific Responsibilities

  • Process and deliver all end‑to‑end recruitment and selection activities in line with agreed procedures.
  • Assist with resolving escalated issues from the Recruitment Shared Services Centre.
  • Create and review HRPTS/offline databases and reports to monitor recruitment activity and identify risks.
  • Communicate system‑related issues to the Team Leader.
  • Process and audit HRPTS transactions to ensure accurate recruitment data and interfacing.
  • Provide administrative support to ensure recruitment activities are delivered accurately and on time.
  • Provide customer service and respond to queries regarding systems, policies and procedures.

Skills & Abilities (assessed at interview)

  • Ability to use initiative and work independently or as part of a team.
  • Ability to prioritise workload to meet deadlines.
  • Effective communication skills (oral, written and electronic).
  • Knowledge and experience in using information systems.
