Higher Clerical Officer – Band 3

Location: HollyVilla, Omagh
Department: Family & Childcare
Contract: Full‑time | 1 month initially, with possible 3‑month extension
Salary: Band 3

About the Role

We are currently recruiting two Band 3 Higher Clerical Officers to join the Family & Childcare Team based at HollyVilla, Omagh. These posts are full‑time and will run for one month initially, with the possibility of extension for the right candidates.

This is an excellent opportunity for someone with strong administrative skills who is confident working in a busy environment and supporting a multidisciplinary team.

Key Responsibilities

  • Provide comprehensive administrative support to the Family & Childcare Team
  • Manage diaries, arrange meetings, book venues and assist with minute‑taking
  • Maintain filing systems, mail distribution, photocopying and general office duties
  • Draft routine letters and handle incoming correspondence
  • Liaise with staff, departments, external agencies and members of the public
  • Handle telephone enquiries and take appropriate follow‑up action
  • Type letters, memos and minutes to a high standard
  • Assist with PowerPoint presentations, policies and statistical reports
  • Maintain stationery stock levels
  • Update and search information on client databases (PARIS/Soscare)
  • Support the collation of statistical information
  • Operate petty cash in line with Trust policy

Essential Criteria

Applicants must meet one of the following:

  • 5 GCSEs (A–C) including English and at least 1 year administrative/clerical experience
  • OR
  • NVQ Level II in Business & Administration (or equivalent) and 1 year administrative/clerical experience

OR

  • 3 years administrative/clerical experienceYou must also be able to demonstrate:
  • Ability to work on your own initiative
  • Flexibility and strong time‑management skills
  • Ability to maintain confidentiality
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience arranging meetings and taking minutes

Desirable Criteria

  • Experience using PARIS
