Team Secretary (Band 3) – Adult Learning Disability Services
Location: Coleshill Community Services, Enniskillen
Department: Adult Learning Disability
Hours: Full-time
Salary: Band 3

Temporary Contract until October 2026
About the Role
We are inviting applications for a Team Secretary (Band 3) within the Adult Learning Disability Service, based at Coleshill Community Services in Enniskillen. This role provides essential administrative and secretarial support to the Adult Learning Disability team and other professionals across the service.
The successful candidate will play a key part in ensuring the smooth running of the office, supporting communication across the team, and maintaining accurate records and documentation.
Key Responsibilities
- Provide full secretarial and administrative support to the Adult Learning Disability team
- Maintain diaries (electronic and manual), arrange meetings, book venues, and organise travel
- Take minutes at meetings when required
- Manage filing systems, mail distribution, photocopying, binding, and general office duties
- Draft routine letters and correspondence
- Handle incoming calls and enquiries, taking appropriate action
- Type letters, memos, reports, and minutes to a high standard
- Assist with PowerPoint presentations and departmental reports
- Supervise clerical staff when required
- Maintain stationery stock levels and process requisitions
- Update and search client information on systems such as Paris, Socare, or Encompass
- Collate statistical information as needed
- Operate petty cash in line with Trust policy
Essential Criteria
Applicants must meet one of the following:
- 5 GCSEs (A–C) including English Language and at least 1 year administrative/clerical experience
- OR
- NVQ Level II in Business & Administration (or equivalent) and 1 year administrative/clerical experience
OR
- 3 years administrative/clerical experienceYou must also have:
- A full UK driving licence and access to a car (unless exempt due to disability)
- Experience using Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to organise workload, meet deadlines, and work on your own initiative
- Strong communication skills and ability to maintain confidentiality
- Experience arranging meetings, taking minutes, and managing diaries
