Contracting Services Administrator – Band 3
Directorate: Finance & Contracting
Location: Cedar Villa, Tyrone & Fermanagh Hospital Site
Reports To: Assistant Contracting Services Officer
Accountable To: Head of Contracts

Job Summary
The Contracting Services Administrator will support the Contracting Services Team in developing, maintaining, and monitoring the Trust’s portfolio of contracts within a quality assurance framework. This includes agreements with regional and local health authorities, other Trusts, the Republic of Ireland, and independent sector providers such as private, community, and voluntary organisations.
The postholder will provide administrative and secretarial support to senior officers, assist with contract reviews, and contribute to performance monitoring and reporting processes.
Key Responsibilities
- Support the development, production, and maintenance of contracts for residential/nursing homes, domiciliary care, daycare, and other health and social care services.
- Assist with contract roll‑forward arrangements and updates in line with new legislation and standards.
- Maintain contract monitoring spreadsheets and databases (e.g., monthly/quarterly returns, complaints, bed occupancy reports).
- Provide full administrative support, including diary management, correspondence, filing systems, and document preparation.
- Organise and service meetings, training sessions, and workshops — including booking venues, preparing agendas, taking minutes, and distributing documentation.
- Establish and maintain communication links with internal and external stakeholders.
- Contribute to departmental protocols, templates, and quality assurance reports.
- Support the tendering process for new services when required.
- Maintain comprehensive contract directories and ensure accurate record‑keeping.
Essential Criteria
- Qualifications:
- 5 GCSEs (A–C) including English and Maths and 1 year’s administrative/clerical experience
- OR
- 3 years’ administrative/clerical experience
- Skills & Abilities:
- Ability to work independently and as part of a team
- Strong organisational and planning skills
- Good written and verbal communication
- Ability to manage confidential information
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Knowledge of filing and computer systemsGeneral Requirements
