We’re Hiring: Admin Support Officer (Band 4) with PA Duties
Location: Beech House, Antrim Area Hospital
Department: Capital Development (Infrastructure Division)
Contract: Temporary
Hours: 37.5 hours per week
About the Role
We’re looking for a highly organised and proactive Admin Support Officer with Personal Assistant responsibilities to join the Capital Development team.
This is a key role supporting the Assistant Director and Department Heads, ensuring the smooth running of administrative operations while handling sensitive information with professionalism and discretion.
Key Responsibilities
- Manage complex diaries, meetings, and appointments
- Provide full PA and administrative support to senior leadership
- Prepare reports, presentations, and briefing papers
- Organise and service meetings (agendas, minutes, follow-ups)
- Handle correspondence, emails, and enquiries efficiently
- Maintain accurate filing systems and records
- Coordinate deadlines, action plans, and departmental workflows
- Support wider admin functions and team operations
Essential Criteria
- Experience as a Personal Assistant (minimum 2–5 years depending on qualifications)
- Strong organisational and time management skills
- Ability to prioritise and work to tight deadlines
- Excellent communication skills
- Proficient in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint)
- Ability to work independently and as part of a team
- Full UK driving licence (or alternative transport arrangements if applicable)
Desirable Knowledge
- Understanding of healthcare systems in Northern Ireland
- Experience with records management and information governance
- Pre-employment health assessment required
- Enhanced Access NI check may apply
